Write the Problem, Not the Solution
The most useful first email describes the situation rather than the technology.
“Three systems disagree about monthly revenue and the board meeting is on the fifteenth” tells us what is actually wrong. “We need a Power BI dashboard” tells us what you already decided, and those two briefs lead to different projects at different prices.
Worth including if you can: what you already run, the rough scale in rows or documents or users per month, when you need it, and any constraint that is fixed. Budget ceilings and rules about where data may be stored both count, and both are cheaper raised now.
What Happens Next

Questions that can be answered in writing get answered in writing. Where a call makes sense we offer times, and it runs about twenty minutes.
That call ends with one of three answers: this is what it is and roughly what it costs, this needs a paid scoping session before anyone can quote it honestly, or this is a job for a different kind of firm and here is the sort to look for.
If a Build Has Stalled
A fair share of what reaches us is a rescue: a project that stopped, an agency that went quiet, or a system nobody can now change because the person who wrote it has gone.
Send the details even if they are awkward, because the awkward parts are exactly what determine whether the thing is fixable or better rewritten. A rescue always begins with a paid review of what is actually there, which is what makes the number after it real.
What a Scoping Session Produces
One or two paid days, then a written assessment: what exists now, what each option costs, and which one pays back first.
It is yours to act on however you choose, including taking it to somebody who will build it more cheaply. That happens, and it is a better outcome than a project of the wrong shape.
